Registration Options & Preferences

Most retreat accommodations are single rooms with a twin bed and half bath, and shared shower stalls located down the hall.

A limited number of double rooms are also available, either with two twin beds + a sink or a full bed + sink. Shared bathrooms/shower stalls are located down the hall.

Rooms will be on one of two floors in the building without elevators. Please select an ADA ground floor room if stairs will be an issue for you.

We collect participant preferences, but specific room types cannot be guaranteed. We will do our best to accommodate requests; however, participants requesting a single room may be assigned to a double room if single rooms are unavailable. Adoptee Voices will provide rooming requests and participant preferences to the venue, and Dumas Bay Centre will make all final room assignments based on availability.

Retreat pricing is the same, regardless of room preferences and assignments.

Cancellation Policy

Because retreat planning and venue commitments take place well in advance, the following cancellation policy helps ensure the retreat can move forward sustainably for everyone involved.

• The $450 registration deposit is non-refundable except in the event the retreat does not meet the minimum registration threshold by August 15, 2026 and is unable to move forward, in which case all deposits and payments made to date will be refunded.
• Cancellations made between August 16, 2026 and October 1, 2026 are eligible for a 75% refund of remaining payments.
• Cancellations made between October 2, 2026 and December 1, 2026 are eligible for a 50% refund of remaining payments.
• Cancellations after December 1, 2026 are non-refundable.

If you are unable to attend, you may transfer your registration to another participant. Transfers are subject to approval by Adoptee Voices based on retreat capacity and administrative considerations, and must be completed by February 1, 2027.

If unexpected circumstances arise, please reach out. Clear communication is always appreciated.

In the event of retreat cancellation due to force majeure, all payments will be refunded except for non-recoverable expenses already incurred (e.g. non-refundable venue or vendor deposits or payments). Force majeure provisions supersede all other cancellation and refund terms.

Adoptee Voices Ground Rules

• We respect one another’s writing and messaging. If you’re inspired by a colleague, then cite their influence on your writing in some way.
• We’re all adoptees, but have had different experiences and may have varying perspectives. Please give one another grace where you disagree. We respect where we are each at in understanding the impact of adoption, recognizing a range of experiences and feelings.
• We're likely to talk about private and sensitive issues, so what we talk about at the retreat should stay within the retreat.
• While we ask participants to respect confidentiality, Adoptee Voices cannot guarantee that all participants will adhere to this expectation and is not responsible for any disclosure of retreat content by other attendees.
• Sharing your writing and receiving feedback is optional. You can always decline to share if it gets too difficult.
• This is a facilitated writing retreat, not a therapy session. If you are experiencing a serious mental health event, including but not limited to mental health crises, please contact a licensed professional or the Suicide and Crisis Lifeline by dialing 988.
• This retreat is intended to serve a community of adoptees. Consequently, all participants assert they are adoptees. Further, facilitators reserve the right to limit access to anyone deemed inappropriate, threatening, or otherwise disruptive to the retreat and its intended purpose.
• We do not record discussion and sharing sessions. We expect you to honor this policy, too.
• You agree to hold harmless and release Adoptee Voices, its facilitators, and contractors from any liability arising from your participation in this retreat.

Participation in this retreat may involve exposure to emotionally challenging content related to adoption and personal experience. By registering, you acknowledge this and choose to participate voluntarily.

If this is your first time engaging in adoptee-centered group work or exploring adoption-related topics in depth, you may wish to seek additional support before or alongside participation.
